Timely Access to Patient Information Key Element in Center’s Life-Saving, Life-Enhancing Work

Timely access to patient records and research data is a critical element in the life-saving and life-enhancing work The Barbara Davis Center for Childhood Diabetes performs every day.

The Barbara Davis Center provides state-of-the-art clinical care for children and young adults with Type I diabetes. It also conducts world-renowned research into the prevention, cure and understanding of the disease process that leads to Type I diabetes.

With 665,000 new cases of diabetes being diagnosed each year in the United States, the demand for The Barbara Davis Center’s clinical services and the need for its education and research programs have continually grown. The Center meets the administrative challenge of managing its ever-increasing volume of patient files and research documents by utilizing a Digitech electronic document management system.

The system integrates PaperFlow capture software and PaperVision Enterprise™ archival, retrieval and viewing software. It is installed behind The Center’s firewall and set up as a “thin client” application giving employees secure access to the system through the organization’s intranet.

Creating an electronic, less-paper intensive environment for managing documents provides The Barbara Davis Center the following benefits:

  1. It provides a secure, central repository for patient records. With faster access to progress reports, lab results, prescriptions, dictations and other key information, clinical staff can promptly address patient needs and questions.
  2. It improves information sharing across the organization. Research findings can be archived in the PaperVision central repository, to facilitate project collaboration and to make it easier for doctors to access information needed to diagnose and treat patients.
  3. It streamlines workflow in The Billing Center where employees use the PaperVision system to perform routine tasks such as confirming services provided, labs and change forms and patient insurance records.
  4. It replaces less efficient, less secure manual processes and paper trails and dramatically reduces time spent filing and retrieving information.

The system also supports HIPAA compliance. Protecting the privacy of patient health information is a critical standard for any healthcare provider. Specific system features that support compliance include document security settings, audit features to track who accesses, modifies, views or e-mails documents and the ability to redact (or black out) confidential information on any document in the system. Redaction gives you the ability to distribute records for reporting and auditing without compromising patient privacy.
